ClickUp Scheduling Specialist

We’re hiring a ClickUp Scheduling Specialist to take charge of task assignments, capacity planning, and workstream optimization across our delivery teams. You’ll be the go-to person ensuring the right work gets to the right people — at the right time.

What You'll Do

• Manage and maintain project scheduling inside ClickUp
• Assign 80%+ of project tasks to internal team members within 1 week of a finalized project plan
• Ensure team members are scheduled within 10% of their weekly capacity
• Own our 30-day staffing forecast model — updating it weekly to support delivery, sales, and leadership
• Partner with Implementation Managers and team leads to keep delivery aligned and moving
• Flag bottlenecks, resourcing gaps, or capacity issues before they become fire drills
• Continuously improve our ClickUp structure and automations to streamline task flow
  

You Might Be a Fit If You...

• Know ClickUp inside and out — views, automations, workload tracking, dependencies, etc.
• Think in Gantt charts and swim lanes
• Have experience in agency, consulting, or service delivery orgs (bonus if you’ve done resource planning)
• Love the feeling of a well-balanced schedule
• Can explain “why this person, not that person” for every task
• Are a systems thinker who finds joy in ruthless prioritization and operational clarity

The Details

• Location: Hybrid if you're in the Minneapolis area, remote if you're not
• Hours: You’ll work CST hours (roughly 8am–5pm CST)
• Compensation: $70,000–$85,000 depending on experience
• Tech Stack: ClickUp (obviously), plus HubSpot, Slack, Google Workspace, and a handful of other smart tools
• Team: You’ll report into our technical delivery team and partner closely with Implementation Managers

Location

Remote (U.S.-based, CST working hours) or Hybrid in Minneapolis, MN. Team members in the Twin Cities can work remotely or enjoy a hybrid work schedule option between their home and our Minneapolis North Loop office. We’re generally in the office on Tuesdays and Thursdays.
